*THE OPPORTUNITY* We are looking for a highly organized, discreet, and proactive Executive Assistant to provide dedicated support to our Senior Management Team (SMT). This is a high-trust, high-variety role that sits at the operational heart of the company. Someone who notices what needs to be done before being asked, and who understands that every task, regardless of size, contributes to how the business runs. *KEY RESPONSIBILITIES* *HR Administration & HRIS* ? Assist with executive payroll processing and final approvals across Hayter?s Turkey Products and Hayter?s Turkey Farms ? Perform monthly benefits bill reconciliation, ensuring accuracy and flagging discrepancies ? Coordinate the onboarding of new salaried employees from start to finish, including system setup, documentation, and introductions ? Coordinate annual performance review cycles ? template management, scheduling, and note-taking support ? Improve efficiency within our Dayforce HRIS platform and lead training for team members on system use ? Reorganize HR filing systems (digital and physical) ? establish consistent naming conventions, archiving standards, and folder structures *Technology & Operational Support* ? Support the company cell phone program: new hire activations, upgrades, and carrier coordination ? Set up landline extensions and update voicemail greetings for new and departing employees ? Provide hands-on technology support and troubleshooting as needed. Think printer issues, system updates or syncing solutions ? Book business travel ? flights, hotels, and ground transport ? for SMT members ? Maintain shared kitchen and storage areas to a high standard of organization and cleanliness *Compliance & Regulatory Support* ? Coordinate annual AODA compliance obligations, including tracking deadlines, maintaining the Multi-Year Accessibility Plan, and supporting the filing of accessibility reports ? Support the preparation and coordination of annual Social Compliance Audits, including organizing records, liaising with auditors, and tracking corrective actions through to resolution ? Maintain a compliance calendar for all regulatory cycles and flag upcoming deadlines proactively so the SMT has adequate lead time for review and sign-off *Meeting & Administrative Coordination* ? Coordinate internal and external meetings for the SMT: scheduling, agenda preparation, and logistics ? Attend meetings as required; capture notes, organize action items, and distribute follow-ups in a timely manner ? Manage competing calendar priorities across multiple executives with professionalism and good judgment *WHAT YOU BRING* ? 3+ years of experience in an administrative, executive assistant, or office management role ? Exceptional organizational skills ? you manage multiple priorities without things falling through the cracks ? High level of discretion; you understand that access to confidential information is a privilege ? Strong written and verbal communication skills ? Experience with an HRIS platform (Dayforce experience is an asset) and comfort learning new systems quickly ? Proficiency in Microsoft Office 365 (Outlook, Word, Excel, Teams) ? Familiarity with compliance frameworks such as AODA is considered an asset ? A calm, solutions-first attitude when priorities shift or timelines compress ?
